What to put on a tuition fee receipt
- Academy or tutor name and contact details.
- A unique receipt number and the payment date.
- Student name, batch and the fee period covered.
- The amount actually received, payment mode and transaction reference.
- Any remaining balance, relevant terms and the issuer’s signature.

How to use the Excel CSV register
Download the CSV and open it with Excel or import it into Google Sheets. Add one row for each actual payment. Preserve transaction references as text, keep an original backup and record refunds separately. The file contains blank fields, not automatic tax calculations or a formatted Excel workbook.
Partial payments and installments
If a student pays part of a fee, write the amount actually received and the remaining balance. For the next installment, issue a separate numbered receipt linked to the same student and fee period. A fee demand or promised payment is not a receipt.

For cash, confirm the amount counted. For direct UPI, verify the actual bank credit; an entered UTR or payment screenshot alone does not establish settlement. For a gateway payment, reconcile the successful gateway transaction and any charges with the bank settlement.
A receipt is not a tax certificate
These templates record a payment. They do not certify GST registration, tax-invoice compliance or eligibility for a parent’s Section 80C deduction. Include GST particulars only where applicable and use an appropriately reviewed tax invoice when required.
